Primary Focus
You are responsible for:
Maintaining an accurate master event calendar
Coordinating and scheduling event staff
Managing vendor documentation and insurance requirements
Tracking compliance and risk management details
Creating and maintaining Standard Operating Procedures (SOPs)
Key Responsibilities
Event Calendar Management
Own and maintain the master event calendar
Ensure no booking conflicts
Communicate event timelines internally and create staffing calendars.
Staff Scheduling & Coordination
Schedule event staff based on event size and needs
Confirm availability and communicate assignments clearly
Ensure proper staffing levels for setup, event execution, and breakdown
Track hours and assist with payroll coordination
Develop backup staffing plans
SOP & Process Documentation
Create and update Standard Operating Procedures
Document workflows for recurring tasks
Identify inefficiencies and propose system improvements
Maintain operational manuals for staff reference
Help implement scalable systems as the venue grows
Qualifications
2+ years of experience in operations, event coordination, hospitality, or administrative management
Exceptional organizational skills
Strong attention to detail
Ability to manage multiple timelines simultaneously
Experience with scheduling systems or CRM software
Comfortable working in project management tools and spreadsheets
Ability to anticipate problems and proactively solve them
Available to work some weekends during event season
